other people who saw or have knowledge of
the problem. Focus on what happened to
cause the complaint. Did staff react quickly
and courteously? It's important to listen,
empathize, and respond. Visit or contact the
customer who made the complaint. Allow
them to vent and get their emotions out.
Listen without interrupting. Ask them to
clarify any aspect that you don't understand
so you can comprehend the situation fully.
It will likely only take a few minutes. Is the
complaint specific? Then there is a solution.
Is the complaint vague? It's difficult to find
solutions to vague complaints. If you get the
same complaint from the same person over and
over again, then they are likely asking you for
help. For example, if they keep complaining
that they aren't getting their coffee when they
want it, they may just be lonely and looking
for someone to talk with. Show empathy. Offer
your support. Don't focus on the negative
situation, focus instead on the solution.
This complaint might solve a persistent problem
that is holding your team's performance down
and may offer positive solutions. Speak with
everyone who has knowledge of the event.
