Business Making the Big Seem Small by Camille Perlman How to prepare your staff to get the most out of the exhibit hall experience and how to show them the purchasing ropes. Every year, a fresh batch of new and young professionals enters the exhibit hall. This is their chance to educate themselves on the latest products and services that are available to their industry. These venues are typically ﬁlled with a deafening buzz of conversation and an endless stream of eyecatching booths. Many new professionals can feel overwhelmed. Where do they start? According to Shannon Staten, director of housing and residence life at the University of Louisville in Kentucky, they need to start back home in the ofﬁce before they even travel to a conference. She starts prepping her staff weeks in advance of a conference. Together, they outline what their campus’ vision is and what their budget is for the department currently and discuss if they need to look for new furnishings or if they are considering refurbishing. “Talk about what’s coming up in the next couple of years,” she says: Will there be technical purchases? Will you need to refurbish furniture or replace it? Make Your Checklist (for Products and Behavior) What product or service are you looking for this year? Narrow your list to these immediate essentials so that you spend the bulk of your time learning about the items you plan to purchase in the near future. When ready to really analyze and research a particular product, look at it from both a student’s and a staff person’s point of view, Staten suggests. Is it aesthetically pleasing and at the same time durable and functional? Next, decide which vendors look most appealing to your needs, or if you need to make a point of speaking with a current vendor you are using. “It is good to share with all staff that are attending a conference the names of exhibitors the department is currently conducting business with – ranging from who has the contract for supplying washers and dryers to whom you have purchased furniture from recently,” says Joe Gonzalez, associate dean for residential life at Duke 26 Talking Stick
