there are also the intangibles or extras,
such as considering whether or not
any additional assigned duty – such
as setting up special events, escorting
third-party vendors, or assisting
students with storage issues – will take
away from cleaning time.
Fixture counts can also be used to
help establish the proper staffing mix.
Using fixture counts and adding the
variable of how long it takes to clean a
fixture like a sink, toilet, or faucet can
reveal how much work can be done
in an eight-hour day. Of course, other
factors – scheduled breaks, set-up
time, and travel time – also have to
be considered. Fixture counts can be
combined with another method to
determine if a similar space will require

Looking at the tasks needed and the
frequency of the tasks to be performed
can also help determine an appropriate
level of staffing. Each space and each
style of residence hall or apartment
must be examined in order to determine
the tasks that need to be done, as
well as their frequency (daily, weekly,
monthly, quarterly, or yearly). This
applies to everything from bathroom
cleaning schedules and waxing cycles to
timelines for changing filters or smoke
detector batteries.
In addition to deciding which
method or combination of methods
to use for determining the size of
maintenance teams, it is also beneficial
to develop a database for the information
gathered in the process. This is
invaluable for a number of reasons. On
occasion it may be necessary to justify
the number of staff employed by the
department, and data about fixture
counts (the number of toilets, motors,
valves, VAV boxes, etc.) or the total
number of filters replaced every 60 days
