Successful Project Completion Relies on Improving Internal Communication
"T
hey are painting the wrong
hallways!" shouted the chairman
of the Mondo Condominium
Association, a self-managed community, as he came bounding into the
management office. The onsite manager
looked up in disbelief and responded:
"That is not possible! Are you sure?"
"I just went by 24 Mondo Way,
the building that we notified about
work starting today, and there was no
painting crew," he said. "I was on my
way here to ask you why they were not
on site as scheduled when I saw the
crew scraping walls and patching at 12
Mondo Court."
The site manager grabbed her cell
phone and called the facilities person
who was dealing with a plumbing
emergency in one of the storage areas.
"Hey, Mike!" she said. "Why are the
painters at 12 Mondo Court?"
"Isn't that where they are supposed
to be?" came the reply.
A Failure to Communicate
Many articles have described the importance of the board and management
communicating with homeowners, particularly in the self-managed association.
It has been noted that providing information to your unit owners enhances
the sense of inclusion and encourages
feedback. This is, of course, one of the
most important ways to encourage unit
owner participation in your community
and cultivate future trustee candidates.
The need for solid internal communication, among and between board
members, the management team, vendors, and contractors, has not gotten as
much press. This is surprising because as
illustrated in the above real-life example,
things can go terribly wrong when there
is "a failure to communicate."
The board and site manager at
Mondo Condominium, a self-managed
community, had thought that they
had done everything right. The board
was finally undertaking an interior
hallway painting project that had been
planned for several years but deferred
due to funding issues. The request for
proposal had been issued with specifications drawn up by the chairman of
the board, a retired engineer. The bids
had been collected by the site manager,
reviewed carefully, and the contractor
selected. The contract, after review by
the trust's attorney, was signed and insurance certificates with Mondo Condo
as additional insured were collected.
A pre-construction meeting was set
up with the association's on-site manager, the facilities person, the chairman
of the board, and the successful bidder. During this meeting, the project
schedule and timeline were determined
and details of the project, including
equipment storage, work hours, inspection procedure, and invoice submission were ironed out. Following the
meeting, the site manager put together
a memo to be distributed to 24 Mondo
