June, July and August, inventory for ingredients will require significant adjustments. This is where a good eye — and a great supplier relationship — are of the utmost importance. You know what you’re bakery’s doing on a daily basis. But your distributor can track your purchasing trends on a bigger scale, and help guide the process through areas like seasonal transitions. This is one area where Community Bakery benefits from a relationship with its distributor, Little Rock-based HF Scruggs Company. The strength of a handshake Community Bakery is in a unique position to manage inventory weekly, thanks in part to the relationship with HF Scruggs, which is a member of Dawn Distributors Advantage (DDA). “We don’t think in terms of inventory turns per year for ingredients, in part because of this relationship with our supplier,” Fox says. “We think in terms of adequate stock to get us through the week, and then we can manage inventory pretty tight.” The obvious benefit is that HF Scruggs is located right in their back yard, allowing for small, frequent deliveries. Sproles faxes his order on Sunday for a Tuesday morning delivery (by the same driver for more than 20 years), and if the bakery runs out of something on an unusually busy day, it’s not hard to get an order filled in 24 hours or less. But it’s not all about proximity. It’s about the service that Community Bakery gets from HF Scruggs, and the relationship with its account executive, Coco Dorsey, HF Scruggs vice president. In situations like seasonal transitions, that benefit is apparent. “We order each week what we need to get us through the next week and a half, and then it’s up to Coco to make

sure that she’s got enough to supply our needs,” Sproles says. So in August, Dorsey had already pre-booked seasonal items like pumpkin cake donuts and red velvet donuts, based on previous booking and sales history. “It’s my job to be him,” Dorsey says. “It’s my job to get inside his brain.” When it comes to inventory, Dorsey — and the HF Scruggs Company in general — operate on similar principals as Community Bakery. Look at the inventory and know what you have. In fact, Dorsey, who is the primary buyer for HF Scruggs, notes that a physical inventory is taken every day on paper, in addition to the NCES electronic tracking system. “I know what I have— I mean, every bag of sugar that’s sold and taken out of the inventory — every day,” Dorsey says.
